Lost, misplaced and forgotten instruments cost clinics money and time. Large hospitals use barcode tracking; small clinics can get most of the benefit with a few simple habits.

Start with a full count
List every instrument by type and pattern, along with how many you have and where they are kept. A spreadsheet is enough to start.
Standardise kits
When every kit of the same type contains the same instruments, counting becomes easy. A missing instrument shows up immediately as an empty slot in the cassette.
Use kit checklists
Keep a printed list or photo of each kit in the sterilisation area. Staff check each kit against it before packaging.
Label cassettes
Number or colour-tag cassettes by room or clinician. This helps trace instruments that go missing.
Track usage and wear
- Record replacements with dates.
- Note which instruments are replaced most often.
- Use the data to keep spares of high-turnover items.
Set reorder points
For each instrument type, decide the minimum number of spares you need. When stock drops below that number, reorder.
Consider digital tracking
For larger practices, barcode or laser-marked instruments linked to tracking software record each instrument’s sterilisation history. This supports infection-control audits.

Benefits
- Fewer emergency orders.
- Less time searching for instruments.
- Better budgeting.
- Easier audits.
